Trusts & Estates Legal Secretary
We are seeking an experienced Trusts & Estates Legal Secretary to provide high-level administrative and legal support in a busy estate planning practice.
In this role, you will manage calendars, prepare documents, and ensure deadlines are met while keeping client matters organized and running smoothly. This is an opportunity to put your expertise to work in a practice area that requires precision, organization, and discretion.

What You’ll Do
- Provide comprehensive administrative support to attorneys, including scheduling, calendaring, and travel coordination
- Draft, edit, and finalize correspondence, reports, engagement letters, and legal documents
- Open, organize, and maintain client files with accurate records and follow-up systems
- Manage billing processes, including reviewing, editing, and proofreading client invoices
- Proofread and quality-check all work to ensure accuracy in correspondence, memoranda, and legal documents
- Screen incoming calls, process mail, and handle routine communications on behalf of attorneys
- Track deadlines, court dates, and follow-up items to ensure timely completion
- Prepare files for closing and manage records in accordance with firm procedures
What You’ll Need
- 8+ years of secretarial or executive assistant experience in a professional services setting
- Prior experience in a Trusts & Estates or Estate Planning practice strongly preferred
- Proficiency in Microsoft Office Suite (Word, Outlook, Excel, PowerPoint)
- Strong organizational and time-management skills with the ability to prioritize multiple tasks
- Excellent proofreading skills and keen attention to detail
- Strong communication skills and the ability to interact with clients and team members professionally
- Ability to handle sensitive information with discretion
